This policy explains what data Dhvanii collects, why we collect it, who we share it with, and what choices you have. By using Dhvanii you agree to the practices described here.

1. Who we are

Dhvanii is a meeting transcription service based in Bengaluru, Karnataka, India. For any privacy question, write to support@dhvanii.com.

2. Data we collect

  • Account data. Your name and email address (from Google sign-in or the email you register with).
  • Meeting content. The audio you stream to Dhvanii during a meeting, the transcript we generate from it, and the AI-written summary and action items.
  • Billing data. If you pay for a subscription, your Razorpay payment ID and subscription state. Card numbers and bank details are handled by Razorpay and never touch our servers.
  • Usage data. Minutes of audio you have transcribed this month, the device class (web or mobile) you used, and basic server logs (timestamps, IP address, errors) needed to operate the service.

3. How we use your data

  • To deliver the transcription and summary service to you.
  • To enforce your subscription quota and process renewals.
  • To respond to your support requests.
  • To detect abuse, secure the service, and comply with applicable law.

We do not sell your data. We do not use the content of your meetings to train AI models. We do not show ads.

4. Who we share data with

We share the minimum data needed with these processors, each acting on our behalf:

  • Speechmatics (UK) — receives the live audio stream to transcribe it. Audio is streamed; it is not stored on their servers after the meeting ends.
  • OpenAI (USA) — receives the meeting transcript to generate the summary and action items. OpenAI is contractually bound not to use API data for training.
  • MongoDB Atlas (cloud-hosted in Asia-Pacific) — stores your account, transcripts, and summaries.
  • Google — handles sign-in if you choose to log in with Google.
  • Razorpay (India) — processes your subscription payments.
  • Render (USA, Singapore region) — hosts the web application.

We do not transfer data to anyone else except where required by law or court order.

5. Retention

Meetings, transcripts, and summaries are kept in your account until you delete them. Deleted meetings are removed from active storage immediately and from backups within 30 days. Account data is kept for as long as your account exists; if you delete your account, all associated meetings and notes are deleted along with it.

6. Security

Data is encrypted in transit (TLS) and at rest. Access to the database is restricted to the operator. We do our best to keep your data safe but no system on the internet is perfectly secure; you use the service at your own risk.

7. Your rights

You can view, export, or delete any meeting from your dashboard at any time. To request deletion of your full account or a copy of all data we hold about you, write to support@dhvanii.com. We will respond within 30 days.

8. Cookies

We use a small number of essential cookies to keep you signed in. We do not use third-party advertising cookies or trackers.

9. Children

Dhvanii is not directed at people under 18. If you believe a child has created an account, write to support@dhvanii.com and we will remove it.

10. Changes

We may update this policy from time to time. Material changes will be notified by email and a banner on the website.
